Terms of service

These terms are the agreement between [COMPANY LEGAL NAME] (“we”), registered at [REGISTERED ADDRESS], and the person or organisation using ColloAI (“you”). Creating an account means accepting them.

What the service does

ColloAI lets you set up a conversation with a goal and a set of criteria, send people a link to it, and read a report where an AI has scored each conversation against those criteria.

Your account

Keep your sign-in details to yourself and tell us promptly if you think someone else has them. You are responsible for what happens under your account. One workspace is for one organisation; do not resell access to it.

Credits, plans and payment

A credit is spent when a conversation starts, not when it finishes. New workspaces get a small number of free credits to try the product. Paid plans and credit purchases are charged in advance and are not refundable except where the law requires, or where the service failed and we agree it failed.

We may change prices, with at least 30 days’ notice to existing customers before the change affects them.

The people you invite

This is the part that matters most. When you invite someone to a conversation, you are the data controller for what they tell us and we are your processor. That means:

  • You must have a lawful basis for collecting what you collect, and you must tell participants what you are doing with it.
  • You must not ask for special category data — health, beliefs, sexuality, union membership, biometrics — through a ColloAI conversation.
  • You must handle requests from participants about their own data, and we will help you do it.

What the AI produces

Scores and summaries are generated by a language model. They are an aid to judgement and nothing more. They can be wrong, inconsistent, or unfair in ways that are not obvious.

You agree not to make a decision producing legal effects for a person — hiring, firing, credit, admission, or anything similar — solely on the basis of a ColloAI score, and not to represent an AI score to a participant as a human assessment. A person must review the transcript before any such decision.

Acceptable use

You will not use ColloAI to:

  • Deceive people about the fact that they are talking to an AI
  • Harass, intimidate, or extract information from someone under pretence
  • Break any law, infringe anyone’s rights, or work around the limits and protections built into the service
  • Probe, load-test, scrape or reverse-engineer the service without our written agreement

We can suspend a workspace immediately if we believe it is being used this way, and we will tell you why.

Your content

Your events, criteria and transcripts remain yours. You give us the permission we need to store and process them in order to run the service — including sending conversation text to the AI providers listed in our privacy policy — and nothing beyond that. We do not use your content to train models.

Availability

We aim to keep ColloAI running and will give notice of planned maintenance where we can, but we do not promise a particular uptime figure. The service is provided as it is, without warranties beyond those the law gives you and cannot exclude.

Ending it

You can close your account at any time by writing to privacy@colloai.com, and we will confirm within five working days. We may end this agreement with 30 days’ notice, or immediately for a serious breach of these terms. On termination we delete your data on the schedule in the privacy policy. Unused credits are not refunded unless we ended the agreement without cause.

Liability

Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, neither of us is liable for indirect or consequential loss, or for lost profits or lost data, and our total liability in any twelve-month period is limited to what you paid us in that period.

Changes

We will give 30 days’ notice by email before changing these terms in a way that materially affects you. If you do not accept the change you may close your account and we will refund any unused prepaid balance.

Law

These terms are governed by the law of [JURISDICTION], and the courts of [JURISDICTION] have exclusive jurisdiction. Nothing here takes away rights you have as a consumer in the country you live in.
